This policy explains what we do with the personal information you give us. It covers this website and any enquiry you make through the form on it. If you phone or email us instead, the policy applies to that information in the same way – only the sections about the form itself, and the spam checks on it, are specific to the website.

Who we are

Dapper Direct Ltd is the data controller – the company responsible for the information described here. We are registered in England and Wales, company number 10782140, with our registered office at Brealey Foster & Co, Edwards Centre, The Horsefair, Hinckley, Leicestershire, LE10 0AN. Our trading address is 7 Farm Stile, Upper Boddington, Daventry, NN11 6DQ, UK.

What we collect when you contact us

The contact form is the only place on this site where you type personal information. When you send it, we receive:

  • your first name and last name;
  • your email address;
  • your message. It is a free text box, so whatever you put in it reaches us as written. There is no need to include sensitive details such as health or financial information – if they matter to your move, it is better to tell us on the phone;
  • the page you were on when you wrote, which the form fills in automatically, and the date and time your enquiry reached us;
  • your internet (IP) address, which we use for the spam check described below. Our routine server records may also include it.

Giving us these details is not something the law or any contract requires – it is your choice, and you do not have to use the form at all, as our phone numbers and email address are beside it. The form does ask for all four fields, because without a name, an email address and a message we cannot reply.

Why we use it, and our lawful basis

  • If you ask us to quote for or arrange a move for you, our lawful basis is contract: you have asked us to take steps before entering into a contract with you.
  • For any other enquiry, and for the spam checks and server records described below, our lawful basis is legitimate interests. Our interest is answering people who contact us and keeping the form working. We have considered your privacy, and we only use the details for those purposes.
  • Once we have done a job for you, our lawful basis for keeping the paperwork is legal obligation: HMRC requires us to keep business and VAT records.

We do not use your details for marketing, we do not profile you, and we never sell them. No decision that affects you is made by a computer on its own: the spam checks described below only decide whether a message reaches us, and you can always call or email instead.

Who else sees it

Your enquiry passes through companies that provide parts of this service for us:

  • Our hosting provider supplies the server the website runs on, including the part that receives the form.
  • Our customer-relationship system, where we use one to track enquiries, receives your enquiry so we can reply.
  • Where we deliver enquiries by email, our email provider carries them to our inbox, with your address set as the reply-to so we can answer you directly.

Each of them acts on our instructions and cannot use your information for anything else. Beyond that, we only share information where the law requires it.

Where it is handled

The part of our website that receives the form runs on a server rented from our hosting provider. Some of our suppliers are based outside the UK, including in the United States, so your enquiry may be handled outside the UK. Where that happens, we rely on the safeguards UK law recognises – the UK Extension to the EU–US Data Privacy Framework, the ICO’s International Data Transfer Agreement, or the UK Addendum to the standard contractual clauses. Ask us if you would like to know which one applies to a particular supplier.

We also work in France. Information moving between the UK and France needs no extra safeguard, because each recognises the other as protecting personal information to an equivalent standard.

Keeping it safe

The form is sent over an encrypted connection, and your details travel in the body of the request rather than in the web address, so they are not recorded in your browser history or passed on in a link.

Spam checks and server records

To stop the form being flooded, the site keeps a short list, in the memory of the server that receives the form, of the internet (IP) addresses that have sent enquiries in the last ten minutes. If more than five arrive from one address in that time, further ones are usually turned down and you are asked to call or email instead. Each address is removed from the list within a few minutes of those ten minutes passing, and the whole list is lost whenever the website restarts. The list is never written to a cookie or a file, and is never passed to anyone else.

The form also includes a hidden field that people never see. Anything submitted with that field filled in is treated as spam and dropped: it is not emailed to us and not passed to our customer-relationship system. To avoid telling spam software that it has been spotted, the page still shows the usual thank-you message, so if you ever send the form and hear nothing back, please call or email us. A short note that a submission was blocked, and the page it came from, is written to our server records, without your name, email address or message.

Like any website, ours keeps routine server records, which may include IP addresses. If an enquiry fails to send, our server notes that in the same records, again without your details.

Cookies

This site sets no cookies. There is no analytics, no advertising and no tracking of any kind, which is why you see no cookie banner. We use no third-party fonts, maps or embedded content: everything on the page is served from our own site.

How long we keep it

  • If your enquiry does not lead to a booking, we delete it within 12 months of our last contact with you – from our inbox and from our customer-relationship system.
  • If you go ahead with a move, we keep the job records for six years after the end of the financial year the job falls in, because HMRC requires us to keep business and VAT records for that long, and because a customer has six years to bring a claim about the work.

Your rights

You can ask us to:

  • send you a copy of the information we hold about you;
  • correct anything that is wrong;
  • delete it;
  • limit what we do with it;
  • stop using it, where you object to us relying on legitimate interests;
  • pass it to another company, where that applies.

These rights are not absolute. Some apply only in certain situations, and where we need information to carry out a move you have booked, or to keep records the law requires, we may not be able to delete it straight away. If we cannot do what you have asked, we will explain why.

Email dappertrans@gmail.com to make a request. We will normally reply within one month. If the request is complicated we may need up to two further months, and we will tell you within the first month if that is going to happen. There is no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. Email dappertrans@gmail.com with the word “complaint” in the subject line, or call us on +44 7828 138138. We will acknowledge your complaint within 30 days and give you an answer without undue delay.

You can also complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113, Monday to Friday, 9am to 5pm (not bank holidays). The ICO also runs a live chat on its website. Where French data protection law applies, you can also complain to the French regulator, the CNIL, at cnil.fr. Complaining to us first does not affect your right to go to either regulator.

Changes to this policy

If we change how we use your information – for example by adding analytics, or changing who handles our enquiries – we will update this page and change the date at the top.
